Setting Up a New Email Campaign - Work Instructions


Overview

Email campaigns are a powerful tool to reach and nurture your contacts, helping you maintain engagement and build relationships over time. By automating the process, you can ensure consistent communication with leads, clients, and prospects without the need for manual follow-ups. Setting up a new email campaign is a simple and straightforward process that allows you to tailor your messaging, control the timing of your emails, and track performance metrics. Whether you are targeting buyers, sellers, or general prospects, a well-structured email campaign can enhance your outreach efforts and improve conversion rates.


Creating a New Email Campaign

  1. Navigate to the Campaigns screen by clicking on Campaigns located on the left-side menu.


  2. On the Campaigns screen, click on the New Drip Campaign button.


  3. A popup window will appear, allowing you to set up the new email campaign.



Configuring the Email Campaign

Naming and Describing the Campaign

  • Enter a name for your campaign to easily identify it.


  • Optionally, enter a description to define the campaign's goal.


Selecting the Campaign Interval

Choose from four interval options in the dropdown menu:

  • Once a week – Sends 1 email per week until all campaign emails are sent.

  • Twice a week – Sends 2 emails per week until completion.

  • Once a month – Sends 1 email per month.

  • Twice a month – Sends 2 emails per month.


Selecting and Assigning Emails for the Campaign

  • There are six dropdown options labeled Select 1st Email (required), Select 2nd Email (optional), etc. 


  • To assign an email to the campaign, select the campaign email from the dropdown menu. Emails will be sent in the order they are selected.


Creating the Campaign

  • Once all selections are made, click Create Campaign.


  • The campaign will appear in the Campaign List section of the Campaigns screen.



Managing Your Email Campaign

Accessing the Campaign

  • Click on the campaign name in the Campaign List to access the Campaign Details screen.

  • Emails are sent automatically based on the schedule. Processing time can take 1 to 5 minutes.

Campaign Details Screen

The Campaign Details screen provides an overview of the campaign's status and performance, including:

Campaign Information

  • Campaign Name – The unique name assigned to the campaign.

  • Status – Indicates whether the campaign is Active, Paused, or Completed.

  • Interval – Displays the selected email sending frequency (e.g., Once a Week, Twice a Month).

  • Description – A summary of the campaign's purpose and details.


Email List and Editing Options

  • The screen lists all assigned emails within the campaign.

  • You can click on any email to edit its content before it is sent.

  • Note: Once an email is assigned to a campaign, it cannot be unassigned, but it can be modified.


Campaign Performance Metrics

  • Number of Emails Sent – Displays how many emails have been sent so far.

  • Recipient Open Rates – Shows the percentage of recipients who have opened the emails.

  • Pending Opens – Indicates the number of recipients who have not yet opened the emails.

  • These insights help you monitor engagement levels and optimize future email strategies.


Assigning Contacts to the Campaign

Adding Individual Contacts

  1. In the Assigned CRM Contact section, use the Add Contact To Campaign dropdown menu to select a contact.


  2. Choose a Campaign Start Date.


  3. Click Add Contact. The status will be Scheduled until processed and sent.


Adding Bulk Contacts

  1. To add multiple contacts at the same time, click Add Bulk Contacts.


  2. Once selected, a popup window will display where you can select the contacts based on contact type and a campaign start date.


  3. Click Add Contacts to import them into the campaign.


Note: There is a 500 contact limit per day across all campaigns to comply with SPAM regulations. Contacts will remain Scheduled until the system processes and sends the emails, at which point their status changes to Sent.
